The operating agreement for working with Agile Pilots, written in plain language for founders and teams deploying AI systems responsibly.

Stratos Digital FZCO ("Company", "we", "our", or "us") operates the website and the Agile Pilots brand. These Terms of Service explain how we work with visitors, prospects and clients. They are designed for clarity, not legal complexity. If you sign a separate proposal, statement of work or client agreement with Agile Pilots, that signed agreement controls where it conflicts with these terms.
1. Services
Agile Pilots provides AI automation consulting, workflow design, agent implementation, systems integration, evaluation support and related advisory services. Exact deliverables, timelines and responsibilities are agreed in writing before a paid engagement begins.
Our work may include strategy, prototypes, technical implementation, documentation, handover, training and operational support. We do not guarantee a specific financial result, ranking, revenue outcome or operational saving unless that guarantee is stated in a signed agreement.
2. Client responsibilities
To deliver the work, we may need timely access to relevant systems, documentation, tools, data, decision makers and feedback. You are responsible for making sure you have the right to share any materials, credentials, data or business information you provide to us.
You are also responsible for reviewing outputs, approving implementation decisions and ensuring any AI-assisted workflow is appropriate for your business, team, customers and compliance obligations.
3. AI systems and automation
AI systems can produce incorrect, incomplete or unexpected outputs. We design workflows with practical guardrails, review points and monitoring where appropriate, but AI and automation should not be treated as a substitute for human judgment in high-risk decisions.
Unless otherwise agreed, you remain responsible for how you deploy, use, review and rely on any AI system, automation, agent, integration or recommendation created during the engagement.
4. Payments and fees
Fees, payment schedules, taxes and billing terms are stated in the applicable proposal, invoice or agreement. Unless otherwise agreed, payments are due according to the invoice terms. Late payment may pause delivery or access to ongoing support.
5. Third-party services
Projects may rely on third-party platforms such as AI model providers, automation tools, CRMs, analytics platforms, hosting providers, APIs or other software. These services are governed by their own terms, pricing, availability and privacy practices.
Agile Pilots is not responsible for outages, policy changes, pricing changes, model behavior, API limits or security incidents caused by third-party providers outside our control.
6. Intellectual property
Unless a signed agreement says otherwise, you keep ownership of materials, data, brand assets and confidential information you provide to us. After full payment, you receive the agreed rights to use the final deliverables created specifically for your business.
Agile Pilots may retain ownership of pre-existing methods, templates, reusable code, know-how, internal tooling, generic frameworks and non-client-specific components developed before or outside the engagement.
7. Confidentiality
We treat non-public business, technical and operational information shared with us as confidential. We only use it to evaluate, deliver and support the work, unless you give us permission to do otherwise or disclosure is required by law.
8. No professional legal, financial or compliance advice
Agile Pilots does not provide legal, financial, tax, employment, medical, investment or regulated compliance advice. You should consult qualified professionals for decisions in those areas.
9. Limitation of liability
To the maximum extent permitted by applicable law, Agile Pilots is not liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, lost revenue, lost data, business interruption or reputational harm.
Our total liability for any claim related to the services is limited to the amount you paid to Agile Pilots for the specific service giving rise to the claim, unless applicable law requires otherwise.
10. Termination
Either party may end an engagement according to the cancellation or termination terms in the relevant proposal or agreement. Any completed work, approved milestones, non-cancellable costs and outstanding invoices remain payable unless agreed otherwise.
11. Changes to these terms
We may update these terms from time to time. The latest version will be posted on this page with an updated date. Continued use of the website or services after changes means you accept the updated terms.
